Symposium and Workshop format
Symposia
We use the term 'symposium' to refer to any pre-organized oral session. Papers unsolicited by symposium organizers will be directed towards appropriate symposia, and the symposium organizers may choose to accept the paper for that symposium. Papers that cannot be associated with a symposium will be assembled into open oral sessions with appropriate themes. Symposia and open oral sessions will share the same format:
- Presentation slots will be 15 minutes.
- A half-day symposium should have 7-8 speakers, and a full day symposium should have 15-17.
- You may invite one speaker to be advertised as the keynote speaker for the symposium (not the same as the meeting-wide plenary speaker), and may offer this speaker to take two slots (30 mins total).
- Many speakers can usually be persuaded to attend the symposium, and meeting, at their own expense. However, fundraising will make the symposium more successful, and it may be appropriate to offer the keynote speaker, at least, some financial assistance. Fundraising for a symposium is the responsibility of the symposium organizer(s), although the meeting's fundraising committee will be pleased to provide assistance with contacts and information.
Workshops
Workshops and courses may occur either before or after the main meeting (i.e., ending on 19 July, or beginning on 24 July). We have arranged the use of the beautiful Bali Botanical Gardens (owned and managed by the Indonesian Institute of Sciences), in Bedugul. The Gardens contain meeting facilities and (limited) accommodation. For short, one-day workshops you might also consider using a hotel in Sanur (one pleasant and cheap option is the Puri Dalem).
Workshop funding is up to the workshop organizers, either by charging participants or by securing sponsorship of some kind. If you charge participants, we request that at least 25% of the places are offered at a heavily reduced cost to deserving, low-income scientists. Please consider offering some cheap (or free) subsidized places in your workshop. You should budget for the following costs:
- Conference room rental: Rp 1,500,000 (ca. $150) per day
- Lunch and 2 x (tea/coffee + snacks): Rp 80,000 per person
- Accomodation: $20-25 in the gardens, or google hotel Bedugul, Bali for surrounding area; expect to pay ca. $40 for a decent hotel.
- Transport: ca. $25 for a taxi (i.e., 3-4 pax) from the airport to the Gardens. Buses can be arranged for a cheaper per-person price. Please contact our event organizer.
We will announce accepted workshops on the website and mailing list, but participant managment will be the responsibility of the organizers. We will need an estimate of number of participants in the proposal, and a final count in April.
Symposium and Workshop proposals
Please submit your proposals in the following format:
- Title
- Organizers' contact and affiliation information
- One page or less of a description of goals and content of the symposium, including a short (400 word) abstract suitable for advertizing the symposium
- List of potential speakers with tentative talk title or suggested topic, and status (confirmed attending, tentatively accepted, not yet asked)
Please send proposals to symposia{AT}atbc2010{DOT}org. We will be happy to screen ideas (before you have contacted potential speakers), but please contact us for this before 15 November 2009. Final proposals are due by 15 December 2009, and should include commitments (pending symposium approval) from the majority of your speakers.
